Zoho Bookings is Zoho's equivalent of Calendly: share a link, people pick a time you're free, and the meeting lands in both calendars with a Teams or Zoom link — and in Zoho CRM. It's included in Zoho One.
The weakness of any open booking page is that anyone can book. You end up with meetings where, politely, you're not the right fit — wasting their time and yours. Routing forms fix that by asking a few questions first and sending each person to the right place.
How routing forms work
A routing form is a short questionnaire shown before the calendar. Based on the answers, you send the visitor to:
- a specific booking page (e.g. a 15-minute or 60-minute meeting),
- an external URL (e.g. your webinars or resources page), or
- a custom message.
For example, a consultancy might ask how many users a business has. Smaller businesses are routed to a short call (or to free resources); businesses in the consultancy's sweet spot go straight to a longer meeting. Use whatever measure matters to you — headcount, turnover, group size, service needed.
Set one up
- In Zoho Bookings, go to Settings → Admin → Routing forms and create a form.
- Add fields — email, plus your qualifying questions (drop-downs or number fields).
- Open Logic and add rules. For example: if number of users is less than or equal to 5, go to the 15-minute meeting; if greater than 5, go to the 60-minute meeting; if greater than 50, go to a specific URL.
- Share the link directly, or embed it on your website inline, as a button or as a link. Paste the code into WordPress, Squarespace, Wix or your site builder, and style it to match your site.
The visitor gets a meeting that fits what they need, and your calendar is protected for the conversations most likely to go somewhere.
Limit how many bookings you get
Under each meeting type's Availability and limits you can now set:
- Maximum per day — e.g. only one in-depth consultation a day, even if your calendar is free.
- Limit per customer — e.g. one active booking at a time, or one per day, so nobody books a meeting every week.
Tips
- Keep the form to two or three questions. Every extra question loses bookings.
- Don't dead-end people. If you route someone away from a meeting, send them somewhere useful.
- If your site's Content Security Policy blocks framing, allow Zoho Bookings to be embedded — and allow your confirmation page to load inside the booking frame if you redirect to it after booking.
