Most CRMs are full of leads that went quiet months ago. They cost nothing to keep, but nobody is working them either. Zoho CRM Cadences can pick them up automatically, send a short run of personal follow-ups, and hand anyone who replies back to a salesperson — without anyone having to remember to do it.
This guide combines three features: a custom view to find the leads, an auto-enrolling cadence to contact them, and an email workflow rule to move them on when they respond. If you haven't built a cadence before, start with our step-by-step Cadences guide.
1. Build a "cold and inactive" custom view
In the Leads module, create a new custom view — think of it as a saved filter. Set criteria such as:
- Lead Status is Cold
- Last Activity Time is in the previous year (or whatever window suits your sales cycle)
Keep the view name simple — Zoho won't accept some special characters. Save it and check the count looks right before you go further.
2. Create a cadence that enrols from the view
- In Setup → Cadences, create a cadence on the Leads module and choose leads in a custom view.
- Pick your new view and choose to enrol records when they meet its criteria.
- Build the sequence. Keep the emails short and plain — use the Insert HTML or plain text editor so they look like a normal email — and send them from the record owner's email.
- Use a "sent" branch as the default path (e.g. next email 14 days later if nothing happens) and an "opened" or "clicked" branch to follow up sooner, or to create a call task.
- When you publish, choose whether to include existing records. For a reactivation campaign you usually do.
From now on, any lead that goes a year without activity drops into the view and is enrolled automatically.
3. Take them out when they engage
In the cadence's Unenrol properties, add two rules:
- Any email is replied to
- Lead Status is no longer Cold
Either one ends the sequence, so nobody gets an automated "just following up" after they've already replied.
4. Move replies forward with an email workflow
Go to Setup → Workflow Rules and create a rule on the Email module (it's separate from Leads). Trigger it when an outgoing email is replied to, with a condition on the email subject matching your cadence email. Then add actions:
- Field update: change Lead Status from Cold to your next stage (for example "Initial awareness"). Combined with the unenrol rule above, this also removes them from the cadence.
- Reassign owner: if you have people who do outreach and others who close, pass the lead to the closer.
- Task or notification: make sure someone follows up the same day.
5. Track what the cadence brought back
Don't overwrite the original Lead Source — if a lead first came from PPC, that's still true. Instead, record the reactivation separately. One simple approach: a checkbox or date field on the lead that's set when it enters the cadence. That makes it easy to report on leads that went cold, were re-engaged, and moved forward — in Zoho CRM or in Zoho Analytics.
Check the cadence's funnel report (Setup → Cadences → View report → Show funnel) to see which email in the sequence gets responses and where people drop off.
