Sales managers can usually see that the pipeline is changing. What's harder to see is what changed: which deals moved forward this week, how much value slipped into Closed Lost, and which people are actually moving things along. Zoho CRM can answer all three with one report built on a module most people don't know exists — Stage History.
What Stage History records
Every time a deal changes stage, Zoho CRM stamps a record in the Stage History module: the new stage, when the change happened, the deal's value at that point, and who made the change. It's a built-in related module of Deals. It may be switched off in some systems depending on how they were set up, so check it's enabled if you don't see it in the steps below.
Because it's a history of every movement rather than a snapshot of where deals are now, you can report on activity over a period — which a normal pipeline report can't do.
Build the deal movement report
- Create a dashboard (for example, "Deal drop-off") and add a Chart using Quick Create.
- Set the module to Deals and the related module to Stage History.
- Set the measure to Sum of Amount, taken from the Stage History module.
- Group by Stage — again, the stage field from Stage History, not the deal's current stage.
- Save, then edit the component and add a component filter on Modified Time from Stage History. This is the key step.
- Open the filter and choose This Week.
The chart now shows how much deal value moved into each stage this week. Click any column — say, Closed Lost — and you get the individual deals behind the number, so you can see exactly what was lost and why.
Filter by person
Add a second component filter on Modified By (again from Stage History). Now you can pick one salesperson and a period — today, this week, this quarter — and see what that person moved through the pipeline.
This is where the report earns its place. We've used it with sales teams where one person had moved two million pounds of deals forward in a week and another a fraction of that. There can be good reasons for a gap like that — one might be a senior manager, the other new to sales — but without this report the difference in velocity is almost invisible in the CRM.
Why it's worth building
- It shows drop-off as it happens. Your Closed Lost column will always contain deals — that's the nature of sales — but tracking how value moves into it each week tells you whether losses are rising.
- It explains pipeline growth. Instead of "the pipeline's bigger", you can see which stages it grew in and whose activity drove it.
- It makes one-to-ones specific. Rather than a general sense of how someone's doing, you have their actual movement for the period.
