Zoho Mail - Preferred Display Name and Email Address Formats
Zoho Mail now lets administrators define preferred formats for user display names and email addresses across the organisation. This helps standardise user identity during onboarding, bulk imports, and day-to-day communication.

Zoho Mail has introduced Preferred Display Name Format and Preferred Email Address Format settings in the Admin Console, giving administrators control over how user names and email addresses are generated and displayed.
- You can set a preferred display name order, such as first name followed by last name, or last name first, to match your organisation's convention.
- A preferred email address format can be defined so that new email addresses are auto-generated in a consistent structure (e.g. firstname.lastname@domain.com).
- The chosen email format is applied automatically during CSV-based bulk imports when the username field is left blank, as long as First Name and Last Name fields are provided.
- This reduces manual effort during onboarding by eliminating the need to format each user's details individually.
- The setting helps maintain a uniform identity across user directories, internal tools, and external communication.
- Regional or cultural preferences for name ordering (e.g. last name first) can be accommodated through the format options.
