A common frustration in Zoho CRM: you're looking at a deal but need the contact's phone number, or you're on a contact but need the account's website. Until recently that meant clicking through — or writing a custom function to copy fields between records and hoping they stayed in sync. Two built-in features now solve this: mirrored fields look down the hierarchy, and roll-up summary fields look up it.
Mirrored fields: show parent data on child records
A mirror shows a field from a related record — live, with no copying.
- Go to Setup → Modules and Fields, open the module (e.g. Contacts) and edit the layout.
- Under Components in the sidebar, drag in Mirror.
- Choose the source (e.g. the contact's Account) and the field to show (e.g. Website). Click Done, then Save.
The account's website now shows on every contact, and updates instantly when the account changes. On Deals, mirror the contact's email, phone or job title so salespeople don't have to click away.
Things to know:
- You can add several mirrored fields. There's a limit that depends on your edition, but it's generous.
- Mirrored fields are read-only. To change the value, edit it on the source record.
- Mirrors only work downwards — from the "one" side of a relationship to the "many" side. A deal has one account, so a deal can mirror the account. An account has many deals, so it can't mirror a deal. For that, use a roll-up.
Roll-up summary fields: summarise child records on the parent
A roll-up calculates a value from related records — a count, sum, average, minimum or maximum — with optional criteria.
- Edit the parent module's layout (e.g. Accounts) and add a Roll-up Summary field.
- Choose the related module (e.g. Deals), the function (e.g. Average) and the field (e.g. Amount).
- Add criteria — for example, only deals where the stage is open.
The account now shows its average open deal value. It takes a short while to calculate the first time.
Useful roll-ups
- Number of open deals or total open pipeline per account.
- Number of open tasks on a contact or account — then filter a list view on it to find records with work outstanding.
- Total won value per account for a quick lifetime-value figure.
Because roll-ups are fields, you can use them in list views, filters, reports and workflows. Zoho Projects now has equivalent summary fields for rolling up tasks, issues, time logs and comments to projects and tasks.
