With a large leads database, the hard part isn't finding people to contact — it's knowing who to contact first. Scoring rules give every record a number based on who they are and how they've engaged, so your team can sort and filter by the best-fit, most-engaged prospects.
Where scoring works
Scoring isn't just for leads. You can create scoring rules for Leads, Contacts, Accounts and Deals. At the time of our webinar it wasn't available for fully custom modules — for those you'd use workflows instead.
There are two types:
- Manual scoring — you define the points for fields and activity. Predictable and easy to explain.
- Zia scoring — AI predictions based on patterns in your past records.
Set up a manual scoring rule
- Go to Setup and search for Scoring rules.
- Create a rule, choose the module (e.g. Contacts) and the layouts it applies to.
- Add field rules — for example +10 if City is London, −50 if Country isn't United Kingdom. Base these on what your best customers have in common.
- Click Add channels to score activity (see below).
- Map the result to a score field on the record, so you can sort, filter and report on it. You can also track positive and negative scores separately.
- Save and choose to update existing records. Zoho recalculates scores from historical data; on a large database this takes a while.
Activity channels you can score
- Email: add points for opens and clicks; subtract for bounces. Points per rule are capped (±100).
- Calls: add points per call — and, more usefully, by call duration. A 10-second call and a 15-minute call are very different signals. Duration is set in seconds, so 10 minutes is 600.
- Campaigns activity.
- Zoho Desk tickets.
- SalesIQ (live chat) — e.g. missed chats.
- Zoho Surveys responses.
Some AI-based options depend on your edition and user count.
Beyond pre-sales
You can run several scoring rules at once. One idea: score existing customers' contacts by Zoho Desk activity. A contact raising lots of tickets may be struggling — a prompt to offer a dedicated session before frustration sets in.
Put scores to work
- Build a custom view of high-scoring leads with no upcoming task — see cross-module custom views.
- Trigger a workflow or cadence when a score passes a threshold.
- Review the rules every few months against which leads actually converted, and adjust the points.
