9 Zoho Forms Tips for Better Website Forms

Zoho Forms tips: limit event places, fix name casing, block free email domains, capture page URL and UTM data, and reset forms for trade-show kiosks.

The web forms built into Zoho CRM are limited — their fields essentially have to match the module. Zoho Forms is far more flexible, with conditional logic, better design and integrations with CRM and beyond. If you're building or rebuilding website forms, it's the tool to use. Here are the tips we share most often.

1. Use columns

Forms no longer have to be one long stack of fields. Use the grid layout to put fields side by side in two or three columns.

2. Fix name casing

On the Name field, set text casing to Proper case. No more leads entered in ALL CAPS. (The one downside: names with a capital in the middle.) While you're there, add the missing options to the built-in Title list.

3. Block free email domains

On the Email field, use allowed domains to restrict entries like gmail.com and outlook.com (a comma-separated list). For B2B forms — webinar sign-ups, demo requests — it means you know which business people come from.

4. Verify email addresses

Turn on OTP verification and people must enter a code emailed to them before they can submit. You can customise the sender, subject, message and expiry. SMS verification works for phone numbers too.

5. Limit places per option

On a drop-down, use Choice availability to cap how many times each option can be chosen — perfect for event dates or programme intakes. Once full, an option can be disabled or hidden, and you can show "X remaining" to create a little urgency. One client stopped having programmes oversubscribed over the weekend: full dates now simply disappear and the next date shows.

6. Show images, send text

With an image choice field, each image has a label and a value. Set the value to text (e.g. "Blue Herman Miller office chair") and that's what's passed to CRM, while visitors pick from pictures.

7. Capture the page URL and UTM data

If the same form sits on many product pages, you need to know which page it was submitted from. Add a hidden field (e.g. "Conversion page") and populate it with the page URL when the form loads. Do the same for UTM parameters and ad click IDs such as Google's GCLID, so every enquiry arrives in CRM with its source. This typically needs a little JavaScript from your web developer — or use Zoho Forms' newer advanced iframe with referrer tracking, which captures UTM data automatically.

8. Reset automatically for trade-show kiosks

Using a form on an iPad at an event? In Settings → Thank you and redirection, set the redirect URL to the form's own share link. As soon as someone submits, the form reloads, ready for the next person.

9. Track performance
